Appointment, Cancellation, and Refund Policies

We appreciate your patronage and are committed to providing an excellent experience. Due to the exclusive and high-demand services we offer, we have enacted the following policies to ensure our clients receive quality care while respecting our therapists’ reserved time.

By booking an appointment with Renew Wellness Spa, you acknowledge and agree to all policies listed below

BOOKING PAYMENT & DEPOSIT POLICY:

Due to high demand and the popularity of our services:

  • 50% of the service price is due at the time of booking

  • This payment secures your appointment and therapist availability

  • All booking payments are non-refundable

  • Payments are applied to your service balance only when the appointment is completed

  • Appointments may be rescheduled one (1) time only with proper 24-hour notice

  • Late cancellations, same-day changes, or no-shows will forfeit the booking payment

  • A new booking payment is required for future appointments after forfeiture

CREDIT CARD REQUIREMENT:

  • A valid credit card is required to book and hold all appointments

  • Cancellation and no-show fees will be charged to the card on file

  • Declined or failed payments will require full prepayment for all future appointments

  • Renew Wellness Spa reserves the right to refuse service for unpaid or disputed balances

CANCELLATION & NO-SHOW POLICY:

Renew Wellness Spa is an appointment-only spa. We require adequate notice to allow another client the opportunity to book your reserved time.

  • A minimum of 24 hours’ notice is required to cancel or reschedule an appointment

  • Same-day cancellations, same-day reschedules, or no-show appointments will result in being charged 100% of the scheduled service price

  • Policies are strictly enforced out of respect for our therapists’ time

 

LATE ARRIVAL POLICY: 

  • All appointments begin and end on time

  • Late arrivals may result in reduced treatment time while still being charged full price

  • Clients arriving 15 minutes or more late may be required to reschedule, and the appointment will be considered a cancellation

  • Appointment extensions are not guaranteed and are at management’s discretion only

  • Advanced notice of late arrival is required for consideration of partial services

PAYMENT AUTHORIZATION & CHARGEBACK POLICY

By booking an appointment, you authorize Renew Wellness Spa to charge your payment method on file for:

  • The 50% booking payment

  • Remaining service balances

  • Cancellation, no-show, or forfeiture fees as outlined in this policy

All payments made to Renew Wellness Spa are for reserved professional time and availability, not solely for time physically spent in treatment.

You agree not to initiate a chargeback, payment dispute, or reversal for:

  • Booking payments

  • Late cancellations

  • Same-day reschedules

  • No-show appointments

  • Shortened or forfeited services

  • Refusal of service due to policy violations

Any chargeback or disputed payment will result in immediate refusal of future services, and outstanding balances may be re-billed or pursued through lawful means.

 

MEMBERS & PREPAID SERVICES:

Wellness Works Members and clients with prepaid services or packages are not required to pay the 50% booking payment.

However:

  • Same-day cancellations, same-day reschedules, or no-shows will result in the service being redeemed for that day

  • Services do not roll over, credit back, or transfer

 

PAYMENT POLICY: 

  • We accept cash and major credit cards

  • All services must be paid in full at the time of visit

  • Outstanding balances must be cleared before future services are rendered

 

REFUND POLICY: 

  • There are no refunds or exchanges on services, booking payments, prepaid series, packages, memberships, gift certificates, or products

  • Please notify management immediately if you are unsatisfied so we may attempt to remedy the situation when possible

 

DISCOUNTS POLICY: 

  • Only one discount may be used per visit

  • Discounts may not be combined

  • Discounted gift certificates may not be used in conjunction with other discounts or promotions

PRIVACY & RIGHT OF REFUSAL POLICY: 

  • Client information is stored securely and never sold to third parties

  • Renew Wellness Spa reserves the right to refuse service for:

    • Declined or disputed payments

    • Repeated cancellations or no-shows

    • Failure to comply with spa policies

    • Disruptive, abusive, or inappropriate behavior

SPA ETIQUETTE & CHILDREN: 

To maintain a tranquil environment:

  • Please silence cell phones while inside the spa

  • Keep conversations low in service areas

  • Children are not permitted during appointments

  • We cannot ensure child safety or supervision in a professional spa environment

These policies were adopted to ensure that the therapists time, the spa and its efforts be respected, as well as your scheduled service be a stress-free and relaxing experience.
